Each branch gets the same check in, token rules, displays and reports, and head office can see and compare all of them in one place, whether you have 10 branches or 500. Buying one is less about features and more about control, security and rollout. This checklist gives you 30 questions to ask any vendor, grouped into seven areas, with the answer you should expect to hear.

I’ve written it for operations, IT and procurement teams at banks, NBFCs, insurers, telecom and service centre networks, and hospital chains. It applies to any vendor you’re considering, including us.

Key takeaways

Judge an enterprise queue management system on central control, branch experience, reporting, security, integrations and commercials, not on the length of the feature list.

India’s DPDP Rules were notified on 13 November 2025, and most duties for businesses apply from 13 May 2027. Your queue vendor processes customer names and phone numbers, so it’s part of your compliance.

Run a paid or free pilot in 2 to 3 branches before signing a multi branch contract, and measure waits before and after.

Ask for every security and uptime claim in writing.

What is an enterprise queue management system?

An enterprise queue management system is queue software built for organisations with many locations. It manages walk in and booked customers at each branch, and adds a layer that single branch tools don’t have: a central account where head office sets the rules, manages users and compares performance across branches.

Single branch QMS

Enterprise queue management system

Who sets it up

The branch manager

Head office, then branches inherit the setup

Users

A few staff logins

Roles for head office, regional, branch and counter staff

Reports

One branch at a time

All branches side by side, by region or service

Branding

Vendor default

Your brand on screens, links and messages

Support

Email or chat

Named account manager and an SLA

Pricing

Per month

Per location, with volume terms

Why queues get harder as you add branches

A single branch can run on a token pad and a sharp manager. At 20 branches, each one has quietly built its own way of doing things, and head office has no reliable data on any of them.

Three problems show up again and again:

No common standard. One branch issues printed tokens, another calls names, a third has a WhatsApp group. Customers get a different experience every time.

No visibility. Head office hears about long waits from complaints and social media, not from data.

Uncertain waits. Customers rarely know how long they’ll wait. David Maister’s essay The Psychology of Waiting Lines (1985) argued that “uncertain waits are longer than known, finite waits” and “unfair waits are longer than equitable waits”. A consistent queue that shows each person their place addresses both.

Customers also have limits. In a 2022 survey of 1,202 US adults by Waitwhile, 74% said they would abandon a physical line before their turn, and 70% would wait no more than 15 minutes. That’s a US consumer survey, not Indian banking data, but the pattern will be familiar to any branch manager.

For banks there’s a regulatory angle too. The Reserve Bank of India’s master circular on customer service (the 2015 version for urban cooperative banks) says time norms for specified transactions “should be displayed prominently in the banking hall” and that customers who enter before closing time should be attended to. Both are much easier to meet when you can see every branch’s queue and service times.

The enterprise queue management system checklist

Use these 30 questions in your RFP or vendor demo. The right column is what a good answer sounds like.

1. It runs walk in and booked queues at each location and gives head office one account to set rules, manage users and compare wait times across branches.

How is an enterprise QMS different from a regular queue system?

A regular queue system manages one location. An enterprise queue management system adds central control: branch hierarchies, user roles, cross branch reports, custom branding, an API and an SLA.

What should a bank look for in a queue management system?

A bank should look for service based queues for counters such as cash and loans, central reporting across branches, data hosting and protection that meet the DPDP Rules, clear incident reporting, staff login security, and a rollout plan with a pilot.

Does a multi branch queue system need special hardware?

Not always. Browser based systems let customers join by QR code on their own phones and show tokens on any smart TV. Kiosks and ticket printers are optional for customers without smartphones.

How much does an enterprise queue management system cost in India?

Most vendors price per location per month, plus any hardware. Promptier’s Pro plan is ₹499 a month per location, and the Enterprise plan for multi branch networks is priced on request.

How long does it take to roll out across branches?

It depends on the number of branches. A sensible plan is a 4 to 6 week pilot in 2 to 3 branches, followed by rollout in regional waves.

Related reading

Smart queue management system: how digital queues work

Token management system for branches that still want numbered tokens

Service centre queue management for vehicle and electronics service networks

Hospital queue management system for hospital and clinic chains

An enterprise queue management system runs the queues at every branch from one central account.
